Web developers, designers and digital agencies have a particular financial shape: recurring retainers, project spikes, subcontractors, a stack of software subscriptions, and clients who pay in wildly different ways. Generic accounting advice misses most of it. Here’s what matters if you build for the web.

Your income is lumpy — plan for it

Retainers give you a baseline, but project fees and one-off builds make cash flow spiky. Good digital record-keeping (the same habit MTD will soon require) lets you see the real picture month to month, set aside the right amount for tax, and avoid the January cash-flow shock.

The expenses developers under-claim

  • Software & subscriptions — hosting, domains, design tools, code editors, plugins, AI tools, project management and CRM apps all add up and are allowable.
  • Subcontractors & freelancers — if you outsource development, design or copy, those costs are deductible (and worth getting the paperwork right on).
  • Home office & equipment — a fair share of home running costs, plus computers and peripherals.
  • Training & professional development — courses and certifications that maintain your skills.

Sole trader, or limited company?

Many developers start as sole traders and later incorporate as income grows. The right structure affects your tax, your admin and your MTD obligations (sole traders fall under MTD for Income Tax; companies don’t — see our guide on that). There’s no one-size answer; it depends on your numbers and plans.

MTD readiness for agencies

If you operate as a sole trader or partnership, MTD for Income Tax is coming — and ironically, the people who build software for a living are often the last to digitise their own books. Get your accounting onto MTD-compatible cloud software now and it’s one less thing to think about.
